Your consultant works with you on implementing your current program. This includes reviewing progress, establishing targets, helping you apply what you learned and handling obstacles that arise during implementation.

Your service consultant helps you look at the broader picture. They can explain other services, arrange a statistical analysis, discuss future training and help determine the best next step for your practice.

Select Quality Assurance on the Contact Your Team form. Use this option when you want to share feedback, raise a concern or request assistance with a service issue.

Please provide a clear description of what occurred and what help you are requesting. Quality Assurance will review the matter and help route it toward resolution.

Contact your regular consultant directly. If you cannot reach your consultant, use the Contact Your Team form and select Consultant.

Include your practice name, consultant’s name and the appointment you need to schedule or change.

Contact your service consultant. They can review your situation, arrange a statistical analysis when appropriate and help you identify available resources or services.

You do not need to be actively participating in a program to use the Client Services website or ask about your next step.

Use the Contact Your Team form and choose the option that seems closest to your situation. If it reaches the wrong person, we will route it to the appropriate team member.

Do not include passwords, patient information or other sensitive information in the form.

A statistical analysis, sometimes called a Stat Analysis, is a review of your practice’s current statistics, trends and goals. It helps identify where the practice is doing well, where performance has weakened and which areas may contain the greatest opportunities for improvement.

The purpose is to use actual data—not assumptions—to help determine what deserves attention and what your most beneficial next step may be.

The exact statistics depend on your practice and the issue being evaluated. They may include patient visits, new referrals, advanced scheduling, arrival percentage, collections, billable hours, staffing, profitability or other important indicators.

Begin with the Survival Strategies Road Map. It shows how the major programs and services work together as a progression.

Your completed programs, current goals and practice statistics should then be considered. If the next step is not obvious, your service consultant can arrange a statistical analysis and help you determine which area will provide the greatest benefit.

Major programs combine training in a specific area of management with documented systems and follow-up implementation consulting.

Tell your consultant as soon as possible. The purpose of consulting is to help you implement the program successfully, including handling the obstacles preventing progress.

Many programs include activities or training involving managers and staff. Who should participate depends on the program, the person’s responsibilities and the stage of implementation.

Ask your consultant before adding someone to a consulting meeting or assigning program materials.

Certain major programs are specifically identified as having a Guaranteed Return on Investment. These programs are designed to produce measurable growth that recovers the cost of the program when the training and implementation requirements are properly completed.

The Objective Management Suite, or OMS, gives owners and executives a central place to record and review the statistics that show how the practice is performing.

It can help you monitor patient visits, referrals, collections, billable hours, profitability and other key indicators. Reviewing these statistics regularly makes it easier to identify changes and act before a small problem becomes larger.

Use the version established for your practice:

  • OMS: The original suite for adult-patient therapy practices and similar businesses.
  • PEDS: For pediatric therapy practices with contracted therapists or therapists paid by salary.
  • PEDS1: For pediatric therapy practices with therapists paid based on billable hours.

If you are uncertain which version applies to your practice, ask your consultant or service consultant before entering data.

Use the Contact Your Team form and describe the access problem. Include your practice name, OMS version and the email address normally used to log in.

Statistics should normally be updated consistently and reviewed at least weekly. This makes trends visible while there is still time to address them.

Your consultant may establish a different reporting schedule depending on your program and current targets.
